What’s New for HelloSpoke: The Core Update

Every week, another AI tool promises to automate something else out of your day. Some of that is genuinely useful. This update is entirely on the "work" side of that line. Every feature started the same way — property managers telling us where the busywork actually lives: the manual schedule rebuilds, the emergency criteria that don't hold from property to property, the message that has to go out before anyone's at a keyboard to send it. We listened, and we built the fix.

Reaching residents on your terms, not the clock's

Right now, if a message needs to go out at 7 a.m., someone has to be at a keyboard at 7 a.m. to send it. That's no longer true.

You can now build a mass call or text once and schedule it to go out exactly when it should — with translation and templates built in, so the same message reaches every resident in the language they understand. Preview it, personalize greetings by name, target specific buildings or resident groups such as pet owners, and, and save time with templates for common property announcements. Set it up whenever it's convenient for you; HelloSpoke handles the delivery.

And when something urgent comes up, a resident who simply hasn't opted in yet shouldn't be the one who misses it. Emergency text announcements can now reach every resident, including those who haven't yet opted in to standard messaging.

Your standards, applied consistently

What counts as an emergency isn't always obvious, and it isn't the same for every company. A lukewarm radiator at 9 p.m. might be urgent for one property and routine for another.

Now you can define emergency criteria at the company level and lock it in across every property you manage. Individual properties can still layer on their own additions, but they can't remove what's been set at the top. One standard, applied the same way, every time.

You get that same level of control over work orders at the property level. Choose which maintenance issues automatically generate a work order, and which don't — by category, subcategory, or specific issue. You're in full control of what triggers one.

Built to match how your team actually runs

Scheduling on-call staff has always been more rigid than real life. Coverage shifts, people swap shifts, rotations aren't tidy. We rebuilt the schedule builder from the ground up so it flexes to your rotation instead of forcing your rotation into it. Build it once, across multiple weeks, and adjust as needed.

Finding the right residents just got easier too, with improved tagging and filtering across your contacts. If your Call Activity or Contacts pages are showing you more than you need, you can now hide the columns that don't matter to your team — like removing "Move Out" date from your Contacts list.

A fresh look, top to bottom

Alongside all of this, the entire platform got a visual overhaul — every page, cleaner and easier to move through. Same HelloSpoke, easier to use.
